Privacy Policy

Short version. Right now this website does one thing: it holds a waitlist. We collect your email, and optionally your first name, whether you're union / a veteran / a first responder, and which topic you're most interested in. We use that to email you before launch. We do not sell your information. We are not yet providing health care, so nothing you give us here is protected health information.
1. Who we are
Virtual Vitality LLC ("Virtual Vitality," "we," "us") is a California limited liability company located at 2108 N St., Suite N, Sacramento, CA 95816. Virtual Vitality is a management services organization. We are not a medical provider and we do not practice medicine. When our membership launches, medical care will be delivered by independent licensed clinicians affiliated with our clinical platform partner, and those clinicians — not Virtual Vitality — are responsible for clinical decisions.

2. This policy covers the website only
This policy applies to virtualvitality.ai and to the waitlist form on it. It does not cover the patient intake, telehealth visits, or medical records systems that will operate at launch. Those systems are separate, are operated by our clinical platform partner under a Business Associate Agreement, and will have their own notice of privacy practices delivered to you before you provide any health information.

A note on the "most interested in" field
If you choose a topic, that choice may suggest something about your health interests. California law treats some health-related information as sensitive personal information. We want to be direct about how we handle it:
- It is entirely optional. You can leave it blank and still join the waitlist.
- We use it only to send you relevant pre-launch information and to understand, in aggregate, what our future members care about.
- We do not use or disclose it to infer characteristics about you, and we do not sell or share it.
- It is not medical information, it is not reviewed by a clinician, and it does not create a provider relationship or become part of any medical record.
4. What we do not collect here
- No payment information. Reserving a spot is free and no card is collected.
- No health records, diagnoses, medications, or lab results. Please do not send health details by email or social media message. If you do, we may delete them.
- No protected health information (PHI). Because no provider relationship exists yet, HIPAA does not apply to what you submit on this website.
- No sale of personal information. We have not sold or shared personal information in the preceding 12 months, and we do not intend to.
5. Why we use it
- To email you before launch and tell you when membership opens.
- To confirm founding-member eligibility for union members, veterans, and first responders.
- To understand which channels and communities our waitlist is coming from.
- To operate, secure, and improve the website.
- To meet legal obligations.
6. Who we share it with
We share personal information only with service providers who process it on our behalf under contract, and only for the purposes above:
- Kit (ConvertKit) — email list management and delivery.
- Cloudflare — website hosting, security, and performance.
- Google Workspace — our business email.
We may also disclose information if required by law, to protect our rights or someone's safety, or in connection with a merger, acquisition, or sale of assets — in which case we will notify you.
We never disclose your individual information to your union, your local, your employer, or your department. If you join through a partner organization at launch, the only thing confirmed for benefit purposes is that you are enrolled — never your plan, your health, or anything you discuss with a clinician. We may provide a partner with aggregate, de-identified reporting about the program as a whole — for example total participation or overall trends. That reporting never identifies any individual member and never reveals any individual's care.
7. Cookies and tracking
This site does not use advertising cookies, third-party analytics trackers, or cross-site tracking. Cloudflare sets cookies necessary for security and performance. Because we do not sell or share personal information for cross-context behavioral advertising, we do not honor or need a "Do Not Sell or Share" link — there is nothing to opt out of. We honor Global Privacy Control signals where applicable.
8. How long we keep it
We keep waitlist information until you unsubscribe or ask us to delete it, or until 24 months after launch if you never become a member — whichever comes first. Server and security logs are kept for a shorter period in the ordinary course.
9. Your rights
If you are a California resident, the CCPA as amended by the CPRA gives you the right to:
- Know what personal information we've collected about you and how we use it.
- Access a copy of it.
- Delete it, subject to legal exceptions.
- Correct inaccurate information.
- Limit our use of sensitive personal information — though as described above, we already limit ourselves to the purposes listed.
- Not be discriminated against for exercising any of these rights. Exercising them will not affect your founding-member status or your rate.
To exercise any right, email support@virtualvitality.ai. We will verify your identity by confirming control of the email address on file, and we will respond within 45 days. You may use an authorized agent; we may ask for proof of authorization.
Every email we send includes a one-click unsubscribe link, which is the fastest way to stop hearing from us.
10. Age
This website and our future services are for adults 18 and older. We do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it. If you believe a minor has submitted information, contact us.
11. Security
We use reputable service providers, encrypt data in transit, limit internal access to those who need it, and require multi-factor authentication on our accounts. No system is perfectly secure, and we cannot guarantee absolute security.
12. Where your information is handled
We operate in the United States and our service providers process information in the United States. If you access this site from outside the U.S., you understand your information will be processed here.
13. Changes to this policy
If we make material changes, we'll update the date at the top of this page and, when the change is significant, email people on the waitlist. This policy will be replaced by a fuller notice, including a HIPAA notice of privacy practices from the treating providers, before any health care services begin.
